A document (noun from latin documentum [second declension, gen documentī]: lesson, instruction, warning), is a bounded physical or digital representation of a body of information designed with the capacity (and usually intent) to communicate. A document may manifest symbolic, diagrammatic or sensory-representational information. To document (verb) is to produce a document artifact by collecting and representing information. In prototypical usage, a document is understood as a paper artifact, containing information in the form of ink marks. Increasingly documents are also understood as digital artifacts.

Colloquial usage is revealed by the connotations and denotations that appear in a Web search for document. From these usages, one can infer the following typical connotations:

  • Writing that provides information person's thinking by means of symbolic marks.
  • A written account of ownership or obligation.
  • To record in detail; "The parents documented every step of their child's development".
  • A digital file in a particular format.
  • To support or supply with references; "Can you document your claims?".
  • An artifact that meets a legal notion of document for purposes of discovery in litigation.
  • Document is the practical construct for describing matter in different forms which retain information for a reasonable period of time wherein it can be perceived by a sentient observing entity.

The variety usage reveals that the notion of document has rich social and cultural aspects besides the physical, functional and operational aspects.

  • Document is just a practical concept which presently would be defined narrowly based on human understanding and perception of the external world.
  • Document in its wider connotation could include matter in all its forms, even a universe could be perceived as a document on a wider scale.
  • The practical construct requires the retention of information but the relevance of the information (utility, value are not decided as these depend upon the objectives of the user and the purpose for which he accesses the information)
  • The information must also be with reference to the observing entity be retained for a reasonable period of time wherein it can be observed. Fleeting images which cannot be seen are almost as if never observed.

I accidentally deleted a document, but I have a hard copy. How can I get my paper back onto the computer?
Q. I accidentally deleted a word document off of my computer, but I managed to print a copy beforehand. Now I need the paper back on the computer to make revisions. I have a scanner, but I don't know if it will let me edit the document after I scan it. Is there any software that will make my scanned paper into a word document?

A. You could run what s called an Optical Character Recognition (OCR) program (one may have come with the scanner) on the scan and convert it to text that Word can handle, but OCR is an art, not a science. I can almost guarantee that you will have to fix: 1.Mis-converted fonts. 2.Mis-read characters (i for l, for instance, o, 0 or Q mixups) 3.Mangled layout. The scanned document, as a Word file, may look nothing like the paper copy. Depending on the document s layout, you might spend a lot of time getting it close to what the original looked like. What document do you file with the IRS for business taxes?
Q. I have a P / L statement from Quickbooks, however I need proof of income for my company. I have not filed last years taxes just yet. I think I would file a Schedule C, but I know theres a document inside the package almost like a Profit and Loss statement.

A. For a sole proprietorship and some LLCs, you use Schedule C and Schedule SE. You do not need "proof" of income for a business. If you are audited that is when "proof" comes in. They primarily look at your bank account deposits. Just make sure you have documentation for any money that was NOT sales (like money you put in, loans, advances, etc). At a certain point, successful business people realize that they may be great at what they do, but lousy at bookkeeping and taxes, then they get an accountant. Good luck

How to use Endnote to create a bibliography in a seperate document?
Q. I am working on a research thesis, which is broken into a number of chapters, and I need all my references in each separate chapter document to go into ONE document to create the bibliography. Does anyone know how to tell Endnote to put the bibliography from a number of different documents into one separate document? Thanks in advance.

A. Create a master document for your thesis, and add each chapter as a subdocument. If you show the subdocuments, then format the bibliography, everything should be combined into a single bibliography at the end of the master document.
